& Fire Prevention Office

 

This position is available immediately in the Recreation and Community Services Department and the Fire Prevention Office. The successful candidate will have exceptional data entry and customer service skills. Due to the nature of the work, accuracy, attention to detail and multi-tasking are important skills that must be demonstrated.

 

Hours are Monday through Friday from 8:30AM to 4:30PM and total 35 hours per week. Must be available for outlined programs/events on week night/weekends. Health and paid time off benefits are available for this position. The successful candidate must pass a background check, pre-employment physical and a drug test.

Full-time Senior Clerk Typist in the Recreation and Community Services Department & Fire Prevention Office Job Description

 

DEFINITION:

 

Under the direction of the Director of Recreation and Community Services and Fire Prevention Officer, performs highly responsible and varied administrative and clerical work required in the operation of the Recreation division of the Recreation and Community Services Department and Fire Prevention Office. Shows thorough knowledge of all relevant rules, regulations and policies needed in the operation of the Recreation division of the Recreation and Community Services Department and Fire Prevention Office.  

 

EXAMPLES OF WORK & GENERAL DUTIES:

 

Assists in the administration of all programs run under the Recreation division of the Recreation and Community Services Department, including: programs for adults, programs for children, summer camp and special events. Also assists with the Community Center, Preschool, Library and Borough sponsored events as needed. This requires working extra hours and some holidays.

 

Reviews, checks and certifies reports, applications and all other documents involved in the running of Recreation programs. This includes but is not limited to all sports, activities, classes, and summer camp registrations.

 

Handles requests, questions and general information from the public in person, on the phone & over e-mail, regarding the Recreation Division of the Recreation and Community Services Department. This includes reserving Borough owned parks for private functions.

 

Handles requests, questions and general information from the public in person, on the phone & over the email regarding applying for permits with the Fire Prevention Office.

 

In the absence of the Recreation and Community Services Director and the Fire Prevention Officer, provides assistance to staff members as required.

 

Attends and keeps minutes for of all Recreation Advisory Committee meetings. These meetings take place in the evening once a month.

 

Fosters good, productive relations among staff, volunteers, community members, program participants and business owners.

 

Receives deposits and records all funds received for Recreation programs and Fire Prevention permits. Files appropriate reports as required. Handles petty cash fund requirements.

 

Handles any and all clerical work involved in the operation of the Recreation division of the Recreation and Community Services Department and the Fire Prevention Office. This includes, but is not limited to all correspondence, requesting supplies, preparing fliers needed for distribution to schools, the general public, preparing all standard reports and statements, handling of all employees’ payroll time sheets, permits, sorting and opening the mail and all other related clerical work.

 

Maintains and classifies all records and files.

 

Receives and records all inquiries and complaints, distributes requests for action to appropriate staff.

 

Assists other departments as assigned.

 

REQUIREMENTS:

 

Education:

 

High school diploma or equivalent.

 

Experience:

 

Two years of diversified office experience with an emphasis on working with the public.

 

Testing:

 

Successful completion of the following will be required: criminal background investigation, medical examination and drug screening.

 

KNOWLEDGE AND ABILITIES:

 

Knowledge and ability to use modern office equipment and computerized software programs including Microsoft Office and Windows based programs. Ability to efficiently and accurately enter data into a computer. Ability to do commercial math.

 

Ability to quickly respond to requests for information in a courteous and diplomatic manner.

 

Ability to follow both oral and written directions. Ability to read, write, speak and understand English sufficiently to perform the duties of this position.

 

Ability to establish an effective working relationship with co-workers and the general public.

 

Ability to understand and observe rules, regulations and policies of the Borough of Eatontown.

 

Ability to lift heavy items and equipment as needed.
